The Calendar tool allows you to post dates and times of events, due dates, deadlines, office hours, etc. By default the Instructor-type roles may post to the Calendar and Student-type roles may view postings, but it is possible to allow student-type roles to post to the Calendar, enabling students to schedule themselves for your office hours.

Post a Calendar Entry

  1. From within the course, click Calendar on the left tool bar.
  2. At the top of the Calendar screen, click 'Add.
  3. Enter a Title for your entry
  4. Enter the Start Time and Duration (End Time will be deduced from the Duration) using the drop-down menus.
  5. Enter the message text for this entry
  6. By default, the entry is "Display to site," meaning that everyone enrolled in the course can see the entry. You may select to "Display to selected groups" which will open a list of all groups in the course. Check the box beside the group(s) you want to view the entry.
  7. If this event reoccurs, click Frequency which allows you to set this entry to appear daily, weekly, monthly or yearly.
    • If you choose one of these options, you will be asked when the entry should no longer be displayed. Under the heading "Ends:" select the number of times, or the date, or "never."
    • Click Save Frequency
  8. Select the "Event Type" from the "Activity" drop-down menu.
  9. Enter a location for this event if applicable.
  10. Add an attachment if desired.
  11. Click Save Event

Edit or Remove (Delete) a Calendar Entry

Once you have created a Calendar entry, you may edit or delete it at any time. From within the Calendar tool:

  1. Click the entry you want to edit or delete.
    1. To edit, click Edit
      1. Make the changes to your entry and click Save Event
    2. To delete, click Remove event
      1. You will receive an "Are you sure you want to remove this event?" message. Click Remove event.

Merge Calendars

Let's say that you teach ABC1234 and CBA4321. You can Merge these Calendars so that the entries from CBA4321 appear on the Calendar in ABC1234. Participants who are enrolled in both courses will see all entries. Participants who are not enrolled in CBA4321 will not see those entries in the ABC1234 course Calendar.

To Merge Calendars:

  1. Click Merge at the top of the Calendar screen.
  2. Check the box next to the course(s) you want to Merge.
  3. Click Save

Import Calendar Entries from Outlook or Other Electronic Calendar

Microsoft Outlook allows you to export your calendar entries as a .csv file. You can then import the entries into the Calendar in e-Learning in Sakai.

To Import from Outlook, first you will need to export the .csv file:

  1. From inside your Outlook calendar, click File in the upper left corner.
  2. Select "Import Export" from the list.
  3. The "Import and Export Wizard is displayed. Within the "Choose an action to perform:" box, click Export to a file
  4. Click Next
  5. From the "Create a file of type:" box, click Comma Separated Values (Windows)
  6. Click Next
  7. From the "Select folder to export from:" box, select "Calendar"
  8. Click Next
  9. Enter a name for the file in the "Save exported file as:" box. You may use the "Browse" button to select a location on your computer where the file will be saved.
  10. Click Next
  11. A box labeled "The following actions will be performed:" is displayed. In this box you should see "Export 'Appointments' from folder: Calendar" Click Finish.
  12. A "Set Date Range" box appears. Because the .csv file format cannot support repeating calendar entries, you must determine the date range of the entries you want to import. Type your date range options in the appropriate boxes. Click OK.

Your file is now downloaded and may be imported into the Calendar in your e-Learning in Sakai course. To import the file:

  1. Within the Calendar in your course, click Import at the top of the page.
  2. Select "Microsoft Outlook" under the heading:"Type of calendar to import"
  3. Click Continue
  4. Click Choose File
  5. Locate the .csv file you exported from Outlook and double-click it.
  6. Click Continue
  7. The entries from the file will be displayed in a list. If there are any entries that you do not want to import into Sakai, uncheck the box under the "Import?" column.
  8. Click Import Events
