MediaSite Tool Pointing to Wrong Site
 +
*System: Sakai
 +
*Problem: All courses created up to this point for Summer A/C/B and Fall 2014 have the MediaSite tool pointing to a Spring 2013 instance of MCB2000 and the tool is not, by default, hidden, so students are accessing these videos.
 +
*Workaround: Instructors should hide the tool if they are not using it, or change the address to point to their own MediaSite videos if they are.
 +
*Status: Corrected for all courses built from this time forward.
 +

-
*Problem: After a recent Adobe update, some PDFs will not open within Firefox and Chrome. This problem happens anywhere on the internet, not just in Sakai.
+
Skin Selector Tool
-
*Workaround: You can right-click the name of the file and open it on your computer, or you can use Internet Explorer, or you can use this Firefox Plug-in.
+
*System: Sakai
-
*Status: Many people now have the plug-in installed and so this issue is not as common. --Jolaine 10:40, 15 April 2011 (EDT)
+
*Problem: Some course sites may now have a “Skin Selector” tool showing up on the tools menu.  This tool was removed from previous builds but seems to have reemerged and sites that have it enabled in their tool list will continue to have it until it is removed. The tool is non-functional at this point so it will not impact the skin selection for the course.
 +
*Workaround: The tool can simply be removed by performing the following within the Course Site:
 +
# Site Info > Page Order
 +
# Click the red “X” next to the tool
 +
# Click OK
 +
# Click Save
 +
# Refresh the course site to ensure the tool has been successfully removed

Users in Sakai Cannot Change Gatorlink Username
Using selective release in Resources adversely affects Site Stats
 +
*System: Sakai
 +
*Problem: When using selective release criteria (e.g. "Show this item only if the following condition is met") in the Resources tool, statistics and usernames in Site Stats become unreliable. Most commonly, this manifests as numbers changing with each page load of Site Stats.
 +
*Workaround: None.
 +
*Status: Under investigation.

-
*Problem: Sakai users cannot change their gatorlink username due to a conflicting account being created.
+
Page anchors in the e-Learning system do not work within Firefox
-
*Workaround: There is no workaround. Username cannot be changed at this time.
+
*System: Sakai
-
*Status: Possible resolution at some point in the Fall semester.
+
*Problem: Links internal to a page, commonly known as "page anchors", do not work in Firefox. Rather than the intended behavior of jumping to the appropriate anchor. The page will remain exactly where it was before.
 +
*Workaround: Use another web browser, such as Internet Explorer or Google Chrome.
 +
*Status: This issue centers on a Firefox bug and not an e-Learning bug.

Need Special Instructions to Set up Webdav in Windows 7 and Mac Snow Leopard
+
Importing sites with many items in Lessons can interfere with importing course
 +
*System: Sakai
 +
*Problem: In courses with large numbers of individual sections and items (150+) in Lessons, importing course data into another course site can sometimes fail. Given that the failure occurs at different points in the import process, it can appear to users that files are randomly being imported over and randomly being skipped.
 +
*Workaround: Contact Learning Support Services staff for help if you end up in this situation. We can take steps to duplicate your existing course as needed. In addition, consider creating your content in the new Learning Modules tool. This tool uses the existing Resources tool for file storage rather than it's own file manager, and it seems to respond better to larger sets of items.
 +
*Status: Our developers are working on a migration path from Lessons to Learning Modules with the intent of eventually phasing out the Lessons tool. As such, fixes for this issue are unlikely.
 +

*Problem: Windows 7 and Mac Snow Leopard operating systems do not follow the set-up instructions in the Resources tool.
+
With larger numbers of items, the Lessons tool fails to load.
-
*Workaround : Go here for instructions on setting up a Webdav connection in Windows 7. No workaround for Mac Snow Leopard is available at this time.
+
*System: Sakai
-
*Status Fixed for Windows 7, Snow Leopard is under investigation.
+
*Problem: In courses with large numbers of individual sections and items (150+), the Lessons tool becomes slower and sometimes will timeout before loading.

Some Users See 404 Error When Logging In (Rare)
+
Can’t edit section content in Lessons
 +
*System: Sakai
 +
*Problem: If Lessons content has been copied from a previous semester, there are problems editing the content.  Sometimes there is an error message.  Sometimes it will allow you to add a new content section and sometimes it will not.  The problems are varied.
 +
*Workaround: Use the "duplicate module" icon to the far right of the module to make a fresh copy.  The fresh copy is editable.  Then you may delete or archive the original module.
 +
*Status: Under development. Slated for a Summer 2014 release.

+
Can’t add/change Profile Picture
-
*Workaround: Report the issue to LSS staff (call 352-392-4357 Option 3 or write learning-support@ufl.edu). The problem can be fixed manually but may take time. In the meantime, you can login at https://elearning2.courses.ufl.edu/portal/site/. To prevent the problem, do not delete any Project Site that has users enrolled.

Video Playback Errors on Mac OS X Using Video Streaming/Storage
 +
*System: Sakai
 +
* Problem: When viewing videos using video streaming/storage (not Mediasite) from video.ufl.edu on Mac OS X. Videos can fail to load or immediately give an end-of-content error.
 +
* Workaround 1: If you have Boot Camp installed, boot to Windows and watch the videos from that OS. Alternately, you can go to a campus computer lab to use a Windows machine or use any other Windows computer that you have access to.
-
*Problem: Some users may see extra tools on the My Workspace page - such as Syllabus, Roster, Podcasts, etc. that should not be there.
+
* Workaround 2: Some students have been able to work around the error by installing/reinstalling VLC Media Player.
-
*Workaround: Issue can be reported to HD/LSS staff and can be fixed manually but may take time.

Problems opening large PDFs in IE/Firefox using Adobe Reader Plugin
 +
*System: Sakai
 +
*Problem: Users have received errors when attempting to open large PDFs using the Adobe Reader Plugin in Internet Explorer.
 +
*Workaround 1: Users can use Firefox or Chrome rather than IE
 +
*Workaround 2: Users can right click on the PDF link and "Save target as"
 +
*Workaround 3: Open Adobe Reader/Acrobat and navigate to Edit > Preferences > Internet. Here, make sure to deselect the option that says "Display PDF in Browser." Click OK to save your changes. Next, open Internet Explorer and navigate to Tools > Manage Add-ons (in newer versions of IE, the Tools menu is a gear icon). Select Adobe Reader and click on the "Disable" button. This will force users to open PDFs in Adobe Reader and not their browser.

When Grading, An 'VelocityViewServlet' Appears
 +
*System: Sakai
 +
*Problem: In Assignments, when grading, the following error message is thrown: VelocityViewServlet : Error processing a template for path
 +
Invocation of method 'getGradeDisplay' in class org.sakaiproject.assignment.impl.BaseAssignmentService$BaseAssignmentSubmission threw exception java.lang.NullPointerException at /vm/assignment/chef_assignments_instructor_list_submissions.vm[line 659, column 93].
 +
*Workaround: A proposed workaround by Narasi Ramachandran is to create a temporary group in Site Info, placing all Students minus the problematic student (this is the Student in which the error occurs on within the Assignments > Assignment > Grade page) in the group. Once this is done, the Instructor can then go back into the assignment and filter the view to the specific group and see all of the grades. Additionally, if a new column is added in GB and the assignment is then modified to point to that GB item, the grades are sent.

Instructor Comments to Students Shows HTML Coding
+
When Grading, Not All Students Visible
-
*Problem: When instructors type comments to the students in the "Instructor's Summary Comments" box, the HTML coding shows to the students.
+
*System: Sakai
-
*Workaround: This problem is manageable as long as your comments are simple and do not use a lot of formatting or special charactersOptions:
+
*Problem: In Assignments, when grading, not all students are visibleThis appears to be caused by the app node cache not properly updating student data.
-
** If the student submitted an attachment, make your comments on the document itself.
+
*Workaround: In Site Info, click the Update Participants button to refresh student data.  You may also consider clearing your browser's cache and cookies and restarting the browser.
-
** If the student submitted using the inline box, make your comments in the inline boxEnclosing your comments in double curly brackets will make them appear in red.

-
*Workaround: On the Submissions page, check the box beside the name of the student and click Release Grades at the upper right corner of the screen.

Turnitin Report Not Always Generated
+
'Submit As Student' Submitting As Instructor
-
*Problem: Some Turnitin reports are not generated.
+
*System: Sakai
-
*Workaround: The Turnitin company has verified that a MS Word document that has been saved in a different version will not generate a report.  For example: a student begins a paper on a laptop computer that is running MS Word 2007, but finishes the paper on a machine that is running MS Word 2010.  This paper will not generate a Turnitin report unless the student saves the final version as a MS Word 2007 document.
+
*Problem: In some course sites, the "Submit As Student" functionality is causing submissions to appear as submitted by the instructor rather than the student.
-
Many of the files that do not get a report have naming convention issues.  Make sure students know that their files should not have spaces in the name and should only have one extension.  Do not use characters in the file name other than letters, numbers, - or _.
+
*Workaround: Contact LSS support staff at 392-4357, ext 3, for further assistance.
-
Sometimes the file actually does get submitted to Turnitin, but does not generate a report icon.  To see if there is a report there, click on any other student's Turnitin report and at the top of that screen you will see a link that says "Paper # of #." Click that link.  You will see a drop-down of all reports.  See if the student's report is in the list.

Discrepancy between decimal points in Gradebooks and in Assignments
 +
*System: Sakai
 +
*Problem: When grading with decimals, Assignments and Gradebooks have different guidelines.  Assignments will only allow for one decimal place.  Gradebooks will allow for 2.  If a column is created in either Gradebook, and the Assignment is connected to that Gradebook column, I may enter a grade with 2 decimal places into the Gradebook, but it will round that grade to 1 decimal place to comply with the Assignment restriction of only 1 decimal place.  But, when you view the grade in the Assignments tool, you will see an error message that reads, "Please grade with only 1 decimal place."  Even though only 1 decimal place shows. You may disregard this message as it has no impact on the grade or the Assignment.
 +
*Workaround: Use only 1 decimal place.
 +
*Status: Not under investigation as this is expected behavior under the circumstances of the different requirements.
 +
 +
Turnitin in Assignments Breaks if Default Settings are Changed
 +
*System: Sakai
 +
*Problem: When using Turnitin within Assignments, a set of default settings appear. Please use only the following highlighted settings to get a report, using any other combinations on the highlighted settings will cause issues and not generate a report.
 +

-
Content Editor Freezes in Internet Explorer 9
+
On Occasion, you may see other default settings come up.  If you see that, check the boxes that aren't checked and proceed. If you create an Assignment with settings other than the default, reports will not be generated and the settings cannot be set back to the default, so there is no way to fix the Assignment once it is broken. You will often see an error message when you save the Assignment:"!Alert: The assignment was saved, but Turnitin information was unable to be updated.  Please try saving again." This message does not necessarily mean your Assignment is broken.  As long as you have the Turnitin Repository Settings highlighted in the image above, your Assignment is probably fine.  An exception MIGHT be if you change the Open Date, Due Date, or Accept Until Date in a published Assignment. These dates do communicate with Turnitin and so could cause the problem.
-
*Problem: When insert buttons are clicked in FCKEditor using IE9, the insert window opens but appears blank and frozen. There is no way to close or cancel the window without logging out of Sakai. This occurs in the following options: Insert Link, Insert Flash object, Insert Image, Entity picker , Insert Table, Insert Special Characters, Insert Smiley, Insert Anchor. View screenshot.
+
*Workaround: You may submit all student papers directly to Turnitin.  The papers can be downloaded in a .zip file from the Assignments in e-Learning and the .zip file uploaded to Turnitin.  If you've never used the Turnitin website, go to http://turnitin.com and type in your email address and click "retrieve password."  An email will be sent to you with instructions on how to login.  Once you login, create a course and an assignment.  Follow the instructions to upload a .zip file to the assignment.  It usually takes about 10 minutes for the reports to generate.
-
*Workaround: Use a different browser when using the rich text editor, for example Firefox or IE 8. Internet Explorer 9 is not a supported browser at this time, so avoid upgrading until this issue is solved. See Instructions for removing IE9 and restoring IE8.
+
*Status: After extensive dialogue with the Turnitin support team, it is apparent that Turnitin is not going to fix the problem.  The good news is that Turnitin is developing a new LTI integration coming available in the next few months that could resolve the problem, but we won’t know for sure until we are able to see the new tool.

Entity Picker in Content Editor Not Fully Functional
Certain Symbols in Gradebook Column Titles Prevent Column from Being Associated with Assignment
-
*Problem: There is an option in the Content Editor called the Entity Picker .  This option is supposed to allow you to link to live Discussions, Assignments and Tests & Quizzes, but does not function as intendedOur recommendation at the present time is not to use the Entity Picker.
+
*System: Sakai
-
*Workaround: None.
+
*Problem: When creating an Assignment, there is a choice to have the Assignment create a Gradebook column, or to associate the Assignment to an existing Gradebook column.  If you are associating an Assignment to an existing column, that column cannot have & < or > (ampersand, less than, or greater than) symbols in the title.  Those columns work fine in the Gradebook, but do not associate with an Assignment.
 +
*Workaround: Change the column title to remove those symbols, or have the Assignment create a Gradebook column.

Student View Isn't Accurate when Dates Have Been Set if Student View was Used Prior to Setting Dates
 +
*System: Sakai
 +
*Problem:  In a problem related to the previous Known Issue, if a "user," in this case the Student View" has accessed a Discussion already, setting permissions does not prevent that user from accessing that Discussion in the future.  So, if you view the Discussion using "Student View," then you set available dates for the Discussion and then view it with Student View again, it will appear that students can access the Discussion even though they can't.

Or copy the text already in the Full Description, paste it in Notepad (this way the formatting gets removed), then paste that text back in the Full Description.

In rare occasions, an assessment won't send items to the gradebook.
 +
*System: Sakai
 +
*Problem: In rare occasions, an assessment in Tests and Quizzes will not visibly send the grade to either Gradebook or Gradebook 2. This is caused due to the way that the two gradebooks interact and is more likely to occur in courses where instructors use both gradebooks.
 +
*Workaround: Open settings for the assessment. Change the gradebook settings to "Don't send to Gradebook". Save the settings. Re-open settings and re-enable "Send grades to gradebook."
 +
*Special Note: Please choose one of the gradebook tools and use only that tool. If you do, this error should not occur.

Audio Question Type Does Not Work
 +
*System: Sakai
 +
*Problem: In Tests & Quizzes, the Audio Question type does not work for students due to a java update.  Adjusting java settings, may allow the students to record their answer, but then the test will not submit.

Problems Presenting in Question Pools Larger Than 100 Questions
+
File Upload Question Type Does Not Work
-
*Problem: Assessments that pull from Question Pools containing more than 100 questions are showing erratic behavior.
+
*System: Sakai
-
*Workaround: Use smaller number of questions per pool and/or sub pools.
+
*Problem: In Tests & Quizzes, the File Upload question type does not work for students.  Instructor can create the question, but when students try to attach their files, they receive an error report.
 +
*Workaround: Use the Assignment tool for that particular question, or have the student email their attachment.

Audio Recording Questions not Working
+
Calculated questions missing extract variables button in question pools
-
*Problem: The "Audio Recording" type question does not work.  The Audio Recorder will not begin recording.
+
*System: Sakai
-
*Workaround: The only workaround available at this time is to require students to create an audio file on their computer and upload it to a "File Upload" type question. This is only practical if you know students have audio recording software.
+
*Problem: In Tests & Quizzes, when creating a new calculated question in a question pool, the button to extract variables is missing.
-
*Status: Errors are due to Java policies – Under investigation
+
*Workaround: The workaround is to click “save,” then to reopen the question and edit it. The variables and formulas will be extracted when you click save. Users can also create a calculated question when creating a new assessment. If the question needs to be added to a pool, the user can select the appropriate pool in “Assign to Question Pool.

Facilitators do not See Published Assessments in T&Q (Rare)
+
Student with open assessment can submit after due date
-
*Problem: Someone with the Facilitator role may not see the list of published assessments in Tests & Quizzes.
+
*System: Sakai
-
*Workaround: Give the user a different role, such as Instructor or Teaching Assistant.
+
*Problem: The setting for late submissions accepted states that late submissions will only be allowed for students who do not have a prior submission. Currently, with this option checked and a due date, students can submit a second submission after the due date even if they have a previous submission.
-
*Status: This problem has been resolved for current users, but there are still some courses created on older versions that display this problemAs new courses are created, this problem should disappear.
+
*Workaround: Do not allow late submissions.

Timer Issue in Tests & Quizzes
 +
*System: Sakai
 +
*Problem: In Tests & Quizzes, if the test has been assigned a username and password, the timer will begin from the moment they click the name of the test.  This doesn't usually pose a problem, but if there is confusion with the username and password, or if the student must then install the Lockdown browser, the timer is running during this time and will use some of the student's time allotted for the test.
 +
*Workaround: In Tests & Quizzes, if you are going to use the Lockdown browser, we encourage you to set up a "demo" quiz that isn't worth any points or provide the link for the LockDown Browser download in the Quiz introduction (LockDown Browser Download Link). This will allow students to download LockDown Browser before their actual quiz, thereby preventing the issue of them losing time in their quiz after clicking "Begin Assessment."

Tests and Quizzes Stuck "In Progress"
 +
*System: Sakai
 +
*Problem: Under certain circumstances, tests can become stuck “In Progress” and never submit. This could happen if the student closed the browser or lost internet connection without hitting submit and never went back to finish. In your list of Published/Inactive tests, if there are any numbers in the “In Progress” column, those tests are stuck. View screen shot Prior to August 10, checking the "Automatic Submission" box submitted most tests stuck in progress after the due date passed.  In the updated version, this "Automatic Submission" process is not working.
 +
*Workaround: Currently there is no workaround. Remind students that they must SUBMIT the test and not simply close the browser.  Tell them to make sure they see the successful submission message before exiting e-Learning.

*Status: Under investigation.

Tests and Quizzes Creates Extra Gradebook Columns Upon Republish (occasional)
 +
*System: Sakai
 +
*Problem: When an instructor unpublishes a published test, and then republishes it, sometimes there is an additional column created in the gradebook.  This breaks the test, preventing students from taking the test from that point forward.  Students receive a message stating that their test cannot be submitted because grades can't be sent to gradebook. The extra column cannot be deleted.

Turnitin in Assignments Breaks if Default Settings are Changed

Turnitin settings.png
